Personalization Administrative Coordinator

St. Paul, MN • Full Time • $20.00 - $21.15 an hour

Job Summary

This position facilitates the daily production in the personalization department by managing the flow of orders through production. In addition, this position coordinates communication between customers and other Terrybear departments.

This position reports to the Personalization Operations Manager.

Key Accountabilities

Administrative

  • Collaborates with the sales team to make customer order changes and retrieve information, troubleshoot issues, and track orders.
  • Prepares, sorts. and distributes personalization orders as needed.
  • Collaborates with other leads, department manager, and warehouse team to process and fulfil orders.
  • Creates orders for replacements and logs replacement.
  • Expedites the Personalization workflow.
  • Manages department email inboxes and distributes questions to the appropriate person.
  • Manage department Teams chat groups.

Proofing

  • Record and respond to changes and approvals.
  • Provides timely and accurate personalization proofs and revisions.
  • Monitor and audit proofs in progress.

Customer Support

  • Corresponds with customers to finalize personalization details.
  • Interfaces with sales and marketing to ensure processes are documented.
  • Assist in maintaining Admin documentation and processes.

Other

  • Utilize LEAN practices to assist in process improvement.
  • Participate in department and cross department projects and initiatives as assigned.

Required Education and Experience

  • Associate degree or equivalent experience.
  • One to three years of administrative experience.

  • Ability to build interpersonal relationships.
  • Desire to identify customer questions and concerns and solve them.
  • Ability to switch tasks frequently and quickly.
  • Positive team player.
  • Highly organized with exceptional attention to detail.
  • Proficiency in Microsoft Office suite.
  • Proficiency in InDesign and/or Illustrator a plus.
  • Customer service experience is a plus.

Expectations

  • Monday through Friday, 8:00am – 4:30pm CST
  • On-site role – position is required to work on-site 100% of the time.
